About the Role:
Glean is seeking for a proactive, highly organized Executive Assistant to support our CEO and another executive leader—in a dynamic, fast-paced environment. You will play a critical role in optimizing the CEO’s time and effectiveness. You’ll serve as a trusted partner, managing schedules, travel logistics, and coordinating high-level meetings. This position requires strong attention to detail, strategic thinking, the ability to be highly proactive and independent..
You will:
- Provide comprehensive administrative support to the CEO and another senior leader, including calendar management, travel coordination, and meeting preparation.
- Coordinate and prioritize daily tasks, ensuring timely follow-up and alignment with company goals.
- Plan and support high-level meetings, board sessions, and company events.
- Handle sensitive and confidential information with integrity and professionalism.
- Occasionally support other members of the executive team as needed.
- Make thoughtful, budget-conscious decisions when coordinating travel, events, and vendor relationships.
- Act as a liaison between the CEO and internal/external stakeholders.
- Partner with other Executive Assistants across the organization, and the Chief of Staff to the CEO to ensure smooth coordination and proper alignment on scheduling priorities.
About you:
- 5+ years of experience as an Executive Assistant or in a similar role, preferably in a fast-paced or startup environment and working with technical executives.
- Based in or near Palo Alto, with the ability to be on-site 4 days per week.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- High level of discretion and professionalism.
- A practical mindset with a strong sense of fiscal responsibility and resourcefulness.
- Tech-savvy with proficiency in Google Workspace, Slack, Zoom, and other collaboration tools.
- Ability to anticipate needs, stay one step ahead, and manage competing priorities with grace.
Location:
- This role is hybrid (4 days a week in Palo Alto and occasional travel)
Compensation & Benefits:
The standard base salary range for this position is $145,000 - $165,000 annually. Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience. Certain roles may be eligible for variable compensation, equity, and benefits.
