Overview
As a VIP Events Coordinator, you’ll be part of the team that delivers unforgettable experiences for Fanatics’ ecosystem of VIP customers. This role will belong to the Marketing & Events team that serves as the operational engine behind our premium hospitality and partnership activations. You’ll support the planning, execution, and tracking of VIP events, ticketing programs, and partner assets, helping ensure every guest touchpoint meets our high bar for luxury hospitality and experiences. This position is perfect for someone who’s organized, proactive, and thrives on making complex logistics run flawlessly. You’ll work closely with cross-functional teams across Marketing, Partnerships, Account Management, and Finance to bring events to life, from ticket setup and vendor management to onsite support and post-event reporting.
Responsibilities
- Support coordination and execution of Fanatics VIP events, including hospitality programs, partner activations, and partnerships
- Coordinate VIP ticketing operations, including event setup, ticket blocks, customer data, troubleshooting, and reporting, ensuring accurate data and priority access for top customers
- Update and organize Airtable, Salesforce, and shared trackers to maintain visibility across all events and assets
- Assist with vendor setup, contracting, and invoice processing in partnership with Finance, ensuring compliance and timely payments
- Track and reconcile expenses, department cards, and forecasts in collaboration with Finance and Operations teams
- Maintain clear project visibility through project management tools, sharing updates, blockers, and deliverables across stakeholders
- Support event reporting, including KPI tracking, post-event recaps, and documentation of key learnings
- Provide on-site event support as needed to ensure smooth execution and exceptional guest experience
- Support execution of VIP events nationwide, including budgeting, venue sourcing, logistics, travel coordination, and on-site delivery
- Work with teams managing partnership assets, including ticket distribution, food and beverage selections, and payment processing
- Uphold Fanatics’ high standards of operational excellence, client service, and event execution
Experience & Skills
- 1–3 years of experience in event coordination, hospitality, or marketing operations
- Experience in sports, live events, or luxury hospitality / customer service is a plus
- Strong organizational and project management skills with a high level of attention to detail
- Passion for live events, fandom, and creating meaningful customer moments
- Proven ability to manage logistics, timelines, and communications efficiently
- Excellent written and verbal communication skills
- Ability to multitask and adapt in a fast-paced, high-volume environment
- Team-oriented, resourceful, and motivated by delivering exceptional fan experiences
- Familiarity with budget tracking, vendor management, and reporting workflows
- Interest in data-driven event operations and process improvement
Salary range is listed in USD; ranges will change based on country and state of residence, which are reflected in Geographical Zones defined by Fanatics Betting and Gaming. *Salary Range: $27.00 to $33.00 (Hourly range incorporates all of our Geographical Compensation Zones and is subject to change as the Zone associated with the actual Offer is confirmed).
