Job Description
We're looking for a detail-oriented and highly organized Document Controller to join our dynamic team in Diriyah, Saudi Arabia. In this pivotal role, you will be the backbone of our document management operations, ensuring seamless information flow, maintaining meticulous records, and supporting our project teams with efficient document control systems. Your analytical mindset and collaborative approach will be essential in managing all project-related documentation throughout the complete project lifecycle.
- Establish, implement, and maintain comprehensive document control systems that meet project requirements and organizational standards
- Receive, log, index, and distribute incoming and outgoing project documents with precision and efficiency
- Ensure all documents are properly filed, organized, and easily retrievable for authorized team members
- Coordinate with project team members, engineers, and contractors to collect, review, and process technical documents in a timely manner
- Maintain strict version control and accurately track all document revisions and updates
- Prepare and distribute regular document status reports to project stakeholders and management
- Perform quality assurance checks on all documents to ensure compliance with project specifications and organizational standards
- Manage and optimize the electronic document management system, providing training and support to users as needed
- Collaborate with project managers and supervisors to facilitate document access and distribution for design reviews and construction supervision
- Assist in developing and refining document control procedures and best practices
- Support project closeout activities by organizing and archiving final documentation
- Maintain confidentiality and ensure sensitive information is handled appropriately according to regulatory requirements
Qualifications
- Bachelor's Degree in Business Administration, Information Management, or related field
- Proficiency in using EDMS system (Aconex) document management systems and Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong knowledge of document control processes, best practices, and industry standards
- Excellent organizational and time management skills with a keen attention to detail
- Ability to work efficiently in a fast-paced environment and manage multiple priorities
- Strong communication and interpersonal skills
- Experience with database management and data entry
- Familiarity with filing and archiving systems
- Knowledge of relevant industry regulations and standards
- Ability to work independently and as part of a team
