Title: Facilities Associate Manager
Location: Manila, Philippines
Summary
Reporting to the Sr. Manager for Real Estate and Facilities, the Facilities & Real Estate Associate Manager will oversee facilities’ daily operations and maintenance, ensuring that the work environment is safe, efficient, and conducive to productivity. He/she will manage facilities staff and vendors, budgets and contracts, company facilities assets, and facilities compliance. Working alongside the Site Leader of our Philippines office, the Facilities & Real Estate Associate Manager will manage facilities operations of a dynamic Manila office supporting over 500 employees. The ideal candidate should be well-versed in facilities management processes, expert in the technical know-how of facilities maintenance, exhibits high multitasking and organizational abilities, and has exceptional leadership in stakeholder engagement.
Key Responsibilities
- Facility Operational Expense Management Strategy: Plan and manage the site facilities budget, track expenses, and create cost-effective initiatives; including creation of spreadsheets and operational/financial analysis to be presented to decision makers.
- Staff Management: Lead, manage, and mentor at least three (3) staff and outsourced housekeeping, security and technical personnel; conduct employee performance review and keep the staff engaged, involved, and motivated. Leverages organization skills, problem-solving, and creative thinking to resolve escalated issues, drive continuous process improvement and team development.
- Inventory Management: Oversee the inventory of office supplies, equipment, and furniture, ensuring availability and replenishment based on site requirements.
- Environmental Sustainability: Lead and support sustainability initiatives of the site such as energy efficiency programs, waste reduction, and recycling efforts. This also includes monitoring of electric power consumption, water consumption, amount of garbage disposal, etc.
- Safety and workplace wellness: Managing safety risks and ensuring safety regulatory compliance through regular inspections, hazard identification, risk mitigation, and incident reporting. Supports site’s initiative about workplace wellness activities.
- Security Management: Coordinate site security measures, including access control systems, surveillance, and liaison with the global security team.
- Site Support Services: Manage everything about office support services to ensure smooth daily operations. Attends the local leadership meetings to represent the department in the absence of the line manager.
- Hospitality and Food Services: Efficient coordination and management of all aspects of on-site catering operations, including planning, organizing and overseeing the event to ensure employee satisfaction.
- Emergency Preparedness: Develop, manage and implement emergency response plan in the office, including the fire drills, evacuation procedures, and other safety protocols. Work alongside with the site leadership on crisis communication management.
- Government Compliance Management: Coordinates and transacts with various Government Agencies (e.g. PEZA, DOLE, BOI, BFP) to ensure that the site is fully compliant with all Government regulations and requirements.
- Oversee Maintenance: Ensure the facility is well-maintained, addressing any issues related to mechanical, and electrical systems, and general repairs through contractors.
- Detailed Technical Services: Manage the repair, maintenance, troubleshooting of all facilities related equipment. Implement preventive/corrective/predictive maintenance program on all electrical equipment, fire protection system, CCTV and access control, air-conditioning units, and other facilities equipment.
- Vendor Management: Manage relationships with external vendors and service providers, including cleaning services (includes pest control), food concessionaire, and maintenance contractors.
- Office Space Management: Optimize the use of space within the facility, including office space planning and coordination of office renovations or refurbishments.
- Company Asset Management: Process owner for company assets management which includes inventory and tracking. Maintains asset history and proper program documentation.
- Health and Safety Compliance: Ensure the facility meets all health and safety regulations, conduct regular audits, and implement necessary updates to comply with all Company and Government regulations.
- Any other ad-hoc tasks such as special projects as required by the line manager.
Qualifications:
- Bachelor’s degree in mechanical or electrical engineering or architecture with 5-10 years of experience in facilities management, with a focus on managing office spaces and operations of similar size and a workforce of 500-600 employees.
- Professional engineer license preferred but not necessary.
- Experience in managing facilities for shared services, corporate offices, or similar industries. Experience with government compliance (PEZA, BOI etc.) is a plus.
- Working knowledge and strong understanding of building systems, including HVAC, security systems, electrical, plumbing, and general maintenance.
- Familiarity with occupational health and safety standards, particularly for office environments.
- Proficiency in space planning and management, including layout optimization and workspace efficiency.
- Experience in managing vendor relationships, negotiating contracts, and overseeing third-party service providers.
- Ability to oversee renovations, relocations, and other facility-related projects.
- Ability to lead and motivate a team of facilities team members, maintenance staff and service providers.
- Strong analytical and problem-solving skills to address unexpected issues swiftly.
- Excellent communication skills for coordinating with internal teams, vendors, and upper management.
- Focused on creating a safe, comfortable, and efficient working environment for all employees.
