About the Role
As Proscia's Administrative Coordinator, you will provide high-level administrative support to various departments and executives. Your daily tasks will include maintaining office operations at Proscia's headquarters and acting as a central point of communication for the Proscia team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Coordinate and manage daily administrative tasks and projects
- Serve as the point of contact between departments, customers, and vendors
- Schedule and organize meetings, appointments, and travel arrangements for multiple executives
- Prepare reports, presentations, and correspondence for weekly company meetings
- Maintain and update databases, filing systems, and records as needed
- Support the onboarding process for new employees
- Ensure compliance with office procedures and company policies
- Order office supplies and manage inventory
- Plan and coordinate team events, office lunches, and meetings as needed
Qualifications:
- Education: Associate or Bachelor’s degree in Business Administration, Office Management, or related field (or equivalent experience)
- Experience: 2+ years in an administrative or coordination role
- Skills:
- Excellent written and verbal communication
- Strong organizational and multitasking abilities
- Proficiency in G-Suite and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Comfortable with office technology and collaboration tools (e.g., Zoom, Slack)
- Ability to work independently and as part of a team
