We’re looking for an Administrative Business Partner to support 2-3 technical leaders within the ChatGPT portfolio.

About the Role:
The Administrative Business Partner will be a proactive and adaptable partner to leaders who will support complex calendar / schedule management, handle expenses, organize team meetings such as All-Hands, offsites, happy hours, etc as well as arrange travel when needed. This role demands a high-level of coordination for both internal and external engagements, working closely under the guidance of our Executive Business Partners.
This role is based in San Francisco, CA. We use a hybrid work model of 3 days in the office per week and offer relocation assistance to new employees.
In this role, you will:
Efficiently manage and organize calendars for multiple leaders, ensuring an optimal schedule that accommodates internal and external commitments
Take charge of coordinating internal meetings, including scheduling, forecasting, and resolving scheduling conflicts
Plan and organize comprehensive travel itineraries, ensuring smooth and efficient travel experiences for leaders
Assist in the planning and execution of team offsites, all-hands, happy hours, etc. contributing to team building and strategic planning initiatives
Work closely with the broader executive operations team, facilitating effective communication and collaboration within the team and with external partners
Process and manage expense reports, ensuring timely submission and adherence to company policies
You might thrive in this role if you have / are:
4-6 years of administrative experience
Worked directly with technical teams (Engineering, Product, Design, Data Science, TPM) in a high-growth startup, or similar environment
Proven track record of scheduling (often complex & urgent) internal and external meetings and quickly resolving conflicts
Experience in managing travel arrangements, including flight / transportation, lodging and entertainment
Strong communication and interpersonal skills
Extreme fluency in Slack, Google Calendar, Docs, Sheets, Gmail, etc. and other modern productivity technology, and are excited to learn and use new tools
One-team mindset - partnership and collaboration is a cornerstone in how you operate
Extreme attention to detail - it’s not a personality trait but an exercised functional skill
Capable and comfortable working in a rapidly changing and often ambiguous environment
