Job Description
Your role
As a Workplace Experience and L&D Coordinator, you’ll help bring our learning initiatives to life and provide essential HR administrative support. Alongside these people programs, you will coordinate office operations across 14 global hubs, with a dedicated focus on our San Ramon headquarters.
This position reports to our Sr. Manager, Employee Experience & Development, and has the opportunity to be based in our San Ramon Office. This role requires working from Dialpad’s San Ramon office.
What you’ll do
- Coordinate logistics for and facilitate trainings and programs (e.g., new hire orientation, leadership sessions, other learning events).
- Handle invites, calendar management, room/meeting setup, attendance tracking, and follow-up emails.
- Help keep training materials and decks organized, up to date, and on-brand.
- Collect feedback (e.g., surveys, NPS), maintain basic reports, and share key insights with the L&D team.
- Support new hire onboarding, including first-day logistics, welcome materials, and basic HR paperwork in partnership with People Ops.
- Maintain accurate employee records and simple trackers; help with updates to org charts, documents, and internal pages (e.g., Confluence).
- Help with HR admin tasks such as standard letters, reports, and documentation.
- Assist with US benefits administration, including responding to basic employee inquiries, supporting open enrollment logistics, and maintaining benefit documentation.
- Manage logistics for new hire and anniversary swag, and support our recognition and engagement programs.
- Handle sensitive information with strict confidentiality.
- Be a welcoming, professional first point of contact for employees and visitors at our San Ramon HQ.
- Lead and coordinate onsite meetings and events (e.g., room setup, catering coordination, A/V checks, day-of logistics), including site-specific team building and culture-building events.
- Partner with facilities, IT, and vendors to keep the office stocked, safe, and running smoothly.
- Help keep the space clean, organized, and ready for important visitors.
