About the Role
NinjaOne is looking for a proactive and detail-oriented Associate Event Coordinator to support the planning and execution of our trade shows and conferences across EMEA. You will report into the Trade Shows & Conferences Team, EMEA and collaborate with marketing, sales, and external vendors to ensure smooth and impactful event experiences.

Location - Berlin, Germany
What You’ll be Doing
• Assist in coordinating trade shows and conferences across Europe, including the UK, Germany, France, Benelux, Nordics, Italy, and Spain
• Support booth design, signage, event graphics, vendor coordination, guest speakers, and event setup logistics
• Manage relationships with trade show organizers, suppliers, and travel partners
• Handle administrative tasks such as contract tracking, invoice processing, and maintaining event documentation
• Organize employee and customer travel for events in collaboration with travel agencies and internal stakeholders
• Manage and track trade show swag, inventory, and shipments
• Evaluate event opportunities such as sponsorships and local marketing initiatives
• Collaborate with internal teams to align event execution with campaign messaging and business goals
• Ensure smooth communication across stakeholders and contribute to a positive attendee experience
• Assist with post-event reporting and analysis
• Other duties as needed
About You
• 1–2+ years of experience supporting or coordinating trade shows, conferences, or B2B marketing events
• Self-motivated and highly organized with a strong attention to detail
• Excellent verbal and written communication skills in English & French; German language skills is considered a plus
• Analytical mindset and comfortable working toward measurable event goals
• Able to manage multiple tasks, timelines, and priorities simultaneously
• Proficient in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint, Teams); CRM or event software experience is a plus
• Willingness to travel up to 15–40% across EMEA (especially during spring and autumn event seasons)
• Valid driver’s license and good driving record
• Experience in B2B SaaS, IT, or MSP space is a plus
