Job Description
Job Title: Specialist, Finance Operational Excellence
Location: Manila, Philippines
Position Summary:
The Specialist, Finance Operational Excellence supports the Finance Shared Services Center (FSSC) by assisting in process documentation, basic reporting, and day-to-day coordination for operational excellence and continuous improvement activities. This role works closely with the Operational Excellence team and cross-functional partners to help drive efficiency, enhance controls, and support the delivery of high-quality finance operations.
Key Responsibilities:
- Support the OE team in project coordination activities (meeting notes, action tracking, follow-ups, and document organization).
- Assist in updating project trackers and dashboards (status, milestones, risks/issues, next steps).
- Help with process documentation (SOP updates, workflow steps, templates, work instructions).
- Support basic process mapping activities (capturing current steps, inputs/outputs, roles, pain points).
- Assist in preparing presentation materials and reporting packs (PowerPoint updates, Excel summaries).
- Coordinate with FSSC teams to gather required inputs for improvements and reporting (data, screenshots, examples, process notes).
- Support the intake and governance process by monitoring completeness of requirements and ensuring artifacts are filed properly.
- Help identify opportunities for small improvements (quick wins) and support implementation under guidance.
- Provide administrative and coordination support for local and global initiatives led by the OE team.
- Foster collaboration and a continuous improvement mindset by supporting communications and updates.
- Perform other duties as assigned.
Qualifications / Skills Required and Preferred
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or equivalent experience).
- Fresh graduate to 1 year experience in shared services, finance operations, admin support, or project support is a plus.
- Exposure to process documentation, basic reporting, or improvement work is an advantage.
- Strong attention to detail, organization, and follow-through.
- Good written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word).
- Willingness to learn tools used in FSSC/OE (e.g., Smartsheet, ServiceNow, Tableau)
- Knowledge of or exposure to AI tools (e.g., ChatGPT or similar) is an advantage, with ability to use them responsibly to support documentation and analysis.
- Ability to work in a fast-paced environment and manage multiple tasks with guidance.
- Willingness to work extended hours during peak periods when required.
- Basic problem-solving skills and a customer-service mindset.
- Flexible and adaptable to changing priorities.
- Good problem-solving abilities to address and resolve operational issues.
- Good stakeholder management skills.
- Flexibility to adapt to changing business needs and environment.
