Job Description
The Senior Executive Assistant will support the R&D organization and other executives across Algolia as needed, maximizing executive effectiveness through operational excellence, strong prioritization, and clear communication.
This role operates in a fast-paced, technical environment where success is measured not only by execution, but by enabling leaders to focus on the highest-impact work. The ideal candidate brings exceptional judgment, thrives in ambiguity, anticipates needs before they arise, and serves as a trusted partner to executive leaders. While the role includes traditional executive support responsibilities, it also plays an important role in improving team operations, supporting leadership cadences, and helping leaders leverage tools, automation, and efficient ways of working. The core purpose of this role is to own executive operations with a high level of quality, judgment, reliability, and discretion.
Your Role Will Consist Of
Complex Calendar & Priority Management
- Own and optimize highly complex calendars across multiple executives, balancing competing technical and business priorities
- Make high-judgment decisions regarding time allocation, ensuring leaders remain focused on the highest-impact work
- Anticipate conflicts, proactively resolve scheduling challenges, and protect executive focus time
- Ensure meetings are purposeful, well-prepared, and aligned to clear outcomes
- Partner with leaders to continuously improve how time is spent and prioritized
Executive Support & Partnership
- Build strong working relationships with executives to understand priorities, preferences, and operating styles
- Provide reliable, detail-oriented support that enables leaders to operate efficiently and effectively
- Anticipate needs and proactively address operational gaps
- Develop a strong understanding of organizational goals, roadmaps, and leadership priorities
- Exercise sound judgment and discretion when handling sensitive information and competing priorities
Leadership Operations & Operating Cadences
- Support core leadership team cadences, including staff meetings, planning cycles, business reviews, and recurring team rituals
- Coordinate logistics, prepare materials, and ensure meetings run effectively
- Track key action items, decisions, and follow-through to maintain momentum and accountability
- Help ensure leadership operating rhythms are executed consistently and effectively
Cross-Functional Coordination & Communication
- Serve as a point of contact for internal and external stakeholders
- Facilitate timely and effective communication on behalf of executives
- Coordinate across teams to drive alignment and follow-through
- Track decisions, commitments, and next steps to ensure execution
- Help bridge communication between technical and non-technical audiences
Operational Improvements & Executive Productivity
- Identify opportunities to improve processes, tool adoption, and team workflows
- Leverage AI-enabled tools, automation, and self-service workflows to improve executive productivity and reduce manual effort
- Promote effective use of productivity tools and approved platforms across supported leaders and teams
- Support implementation of lightweight systems and practices that improve efficiency without adding complexity
- Recommend and implement improvements to team processes and operating practices that enhance effectiveness
Project & Initiative Support
- Provide coordination support for select initiatives and operational projects
- Assist with tracking progress, organizing information, and maintaining visibility into key deliverables
- Support cross-functional execution by helping ensure deadlines, dependencies, and follow-through are managed effectively
You Might Be a Fit If You Have
- 6–10+ years of Executive Assistant experience, preferably supporting senior leaders in fast-growing, globally distributed organizations
- Proven ability to manage highly complex calendars, priorities, and competing demands with strong judgment and attention to detail
- Exceptional organizational and prioritization skills across multiple high-stakes workstreams
- Strong written and verbal communication skills, including drafting communications, summarizing discussions, and driving clarity across stakeholders
- A proactive, high-reliability mindset with the ability to anticipate needs and follow through consistently
- High levels of professionalism, discretion, and sound judgment when handling confidential information
- Experience supporting leadership team operations, planning processes, or executive cadences
- Proficiency with Google Workspace, Slack, Zoom, Navan, Jira, Confluence, and modern AI/LLM tools
