Genesys is looking for a Contract Execution Specialist to join our Legal Operations team. Reporting to the Legal Operations function, this role serves as a critical operational backbone for our contract/deal/commercial attorneys — ensuring that every agreement is properly executed, complete, and accurately filed before it is closed out in our contract management system. This is a hands-on, detail-oriented role ideal for someone who thrives in a fast-paced environment and takes pride in keeping legal processes organized, compliant, and running smoothly.
Core Roles and Responsibilities
Contract Execution & Signature Management
- Coordinate and manage the end-to-end signature process for commercial agreements, including routing contracts to the appropriate internal and external signatories.
- Track outstanding signature requests, send reminders, and follow up to ensure timely execution.
- Work within e-signature platforms (e.g., DocuSign, Adobe Sign) to prepare, send, and confirm execution of agreements.
- Confirm that all required parties have signed and that fully executed copies are collected prior to filing.
Pre-Filing Due Diligence & Contract Close-Out
- Perform thorough pre-filing reviews to verify that each contract is complete and properly documented before storage in the contract management system.
- Confirm that all required exhibits, schedules, order forms, SOWs, and amendments are attached and accounted for.
- Ensure that effective dates, expiration dates, counterparty information, and key terms are accurately captured and reconciled.
- Identify and resolve any gaps, missing documents, or inconsistencies in the contract record prior to final filing.
- Coordinate with attorneys and business stakeholders to obtain any missing information or documentation needed to close out a file.
File Organization & Records Management
- Maintain and organize contract files in a clean, consistent, and accessible manner — both in shared drives and the contract management system.
- Assist with ongoing file remediation and clean-up projects, including reviewing legacy files for completeness, labeling accuracy, and proper archiving.
- Apply consistent naming conventions, folder structures, and metadata tagging to ensure files are easily searchable and retrievable.
- Support the migration or upload of executed agreements into the contracts management system with accurate data entry.
Attorney & Stakeholder Support
- Act as a day-to-day operational resource for contract/deal/commercial attorneys, handling administrative and procedural tasks (e.g. finding signed copies of contracts) so attorneys can focus on substantive legal work.
- Communicate clearly and professionally with internal stakeholders (sales, finance, Deal Desk) and external counterparties to facilitate signature collection and document exchange.
- Flag contract issues, missing documents, or procedural exceptions to the appropriate attorney for resolution.
- Assist with tracking the status of in-flight agreements and maintaining up-to-date logs of pending and completed contract activities.
Process & Compliance Support
- Follow established Legal Operations workflows and procedures for contract intake, routing, execution, and filing.
- Contribute to the ongoing improvement of contracting procedures by surfacing recurring issues and suggesting process enhancements.
- Assist in developing and maintaining templates, checklists, and job aids for contract close-out and filing workflows.
- Support Legal Operations leadership with special projects and initiatives related to CLM system improvements and process standardization.
Qualifications
Skills, Experience & Competencies
- 2–4 years of experience in a contracts administration, legal operations, or legal support role; experience in a SaaS or technology company preferred.
- Familiarity with commercial contract types (MSAs, SaaS agreements, SOWs, NDAs, order forms) and standard contract components.
- Experience using e-signature platforms (DocuSign, Adobe Sign, or similar) and contract management/CLM systems.
- Familiarity with or curiosity about legal AI tools (e.g., Harvey, CoCounsel, or similar) and a willingness to adopt emerging technology to improve speed and accuracy in contract review and administrative workflows.
- Strong organizational skills with exceptional attention to detail; ability to manage multiple open files simultaneously without dropping the ball.
- Excellent written and verbal communication skills; professional and responsive in all interactions with attorneys, business partners, and counterparties.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management tools; comfortable learning new legal technology platforms.
- Ability to work independently, take ownership of tasks, and proactively follow up to ensure work is completed accurately and on time.
- High degree of discretion and professionalism when handling confidential and sensitive legal information.
- B.A. or B.S. required; paralegal certificate or relevant legal training a plus.
