The People operations and workplace experience/facilities manager is responsible for overseeing the day-to-day operations of our New York City office, ensuring a safe, comfortable, and efficient workplace for all employees. This role involves managing facilities, coordinating office services, and implementing initiatives that foster a positive and inclusive work culture. The ideal candidate will have a strong background in facilities management, a keen eye for detail, and a passion for creating exceptional workplace experiences.
🦸🏻♀️ Your responsibilities
Facilities Management:
Oversee the maintenance and upkeep of the office, including coordinating with vendors for cleaning, repairs, and equipment maintenance
Manage office space planning and layout, ensuring optimal use of space and compliance with safety regulations
Coordinate with IT and other departments to ensure all office technology and infrastructure are functioning properly
Handle all aspects of office move management, including planning, budgeting, and execution.
Workplace experience:
Develop and implement programs to enhance employee engagement and satisfaction.
Organize and manage office events, such as team-building activities, wellness programs, and social gatherings.
Ensure the office environment is welcoming and inclusive, fostering a sense of community and belonging.
Manage the office amenities, including kitchen supplies, snacks, and other employee perks
Health and safety:
Ensure compliance with all local, state, and federal health and safety regulations
Develop and maintain emergency preparedness plans and conduct regular safety drills
Oversee the implementation of health and safety protocols, including COVID-19 guidelines and other infectious disease prevention measures
Vendor management:
Select and manage relationships with vendors for office supplies, maintenance, and other services
Negotiate contracts and ensure vendors meet our standards for quality and service
Budget management:
Manage the facilities and workplace experience budget, ensuring cost-effective solutions and staying within financial constraints
Track and report on budget performance and make recommendations for cost savings
Employee support:
Serve as a point of contact for employee concerns and issues related to the office environment
Facilitate the onboarding process for new employees, ensuring a smooth transition into the office
Collaborate with HR to address any workplace issues and improve overall employee experience
Sustainability:
Implement and promote sustainable practices within the office, such as recycling programs and energy-efficient initiatives
Stay informed about the latest trends and best practices in workplace sustainability
⭐️ Is this you?
Bachelor’s degree in Business Administration, Facility Management, or a related field
5+ years of experience in facilities management, workplace experience, or a similar role
Strong project management skills and the ability to handle multiple tasks simultaneously
Excellent communication and interpersonal skills, with the ability to build and maintain positive relationships with employees and vendors
Proficiency in Microsoft Office and other relevant software
Knowledge of health and safety regulations and best practices
Experience with budget management and cost control
A proactive and solution-oriented mindset, with a focus on continuous improvement
Ability to work effectively in a fast-paced, dynamic environment
