Job Title: Expense Helpdesk Specialist
Department & Team: FSSC - Global Expense Management
Reports to: Travel and Expense Team Lead
Location: Manila (Flexible)
Summary:
Reports to the Helpdesk Team Lead, Helpdesk Analyst will be responsible in supporting the end-to-end of Expense Management Process supporting North America, APAC and EMEA Region. This is an individual contributor role and will be responsible contributing to meet the SLAs as well as KPI’s of the Expense Management service delivery team.
Stakeholders of this role will include Genesys employees, vendors, Procure to Pay team, Controllers, Tax, Treasury Team, Internal Audit, Payroll team and different business units needing the support from the end-to-end Expense Management Process.
The department can be very busy during year end and quarter end and therefore a calm approach is required together with the ability to prioritize workload to achieve maximum efficiency is an advantage. As such, good communication and organization skills are required.
Key Responsibilities:
- Respond to internal as well as external stakeholder inquiries regarding Travel & Expense, expense liquidation, Concur as well as status of invoices and payments in a timely manner and with high quality
- Reconcile vendor statement of account (SOA)
- Review of vendor account balances prior to confirmation of Expense Manager
- Perform activities to comply with company policies and SOX controls with the prescribed procedures.
- Identify issues and initiate process improvements as well as escalate to Leadserhip as necessary
- Work with Internal Audit team for SOX preparedness initiatives within the Procure to Pay Team
- Participate in UAT testing for any system related changes including interfaces and support automation related initiatives
- Performs reconciliation of Accounts Payable and Vendor-related G/L accounts including Aged Unprocessed/Pending Invoices
- Investigates and resolves invoice mismatches in the system or rejects/returns invoices as per agreed procedure
- Research and resolve concerns related to Travel & Expense, vendor Invoices/credit notes to make it ready for payment
- Correcting invoice posting errors in a timely accurate process
- Accountable in delivering the agreed SLA and KPI’s of Accounts Payable team
- Perform Root Cause Analysis for issues raised/escalated and recommend/propose corrective/preventive action to avoid recurrence and improve internal processes; define, document, and develop process flow
- Analyzes and follows up on outstanding issues to avoid overdue requests, communicates issues accurately that may affect payment processing. Investigates and initiates queries with the vendors promptly as needed
Minimum Requirements:
- Fresh graduate to one year experience, preferably a graduate of BS Accountancy or any Business-related Degree
- Work experience in a multi-national and/or shared service companies (preferred)
Skills:
- Solid understanding of accounting -related principles, internal controls, Travel & Expense as well as AP experience; understanding of Purchase to Pay process and data workflows
- Knowledgeable in Concur, Coupa, Workday or other ERP
- Proficient in MS applications, including but not limited to Excel, Word and PowerPoint
- Highly analytical, critical thinking ability and with strong attention to detail and with strong problem-solving skills, takes initiative, strong accountability and uses good judgment, excellent follow-up skills
- Outstanding organization skills
- Excellent interpersonal skills able to interact effectively with all departments and levels within the company
- Excellent written and verbal communication skills; assertive
- Strong customer service and proactiveness
- Able to handle multiple tasks with minimal supervision and instructions with high degree of accuracy, consistency and punctuality; with effective time management
- Ability to handle a high-volume, deadline driven environment; can work under pressure to meet strict deadlines with effective prioritization
- Ability to successfully adapt to changing priorities and work demands in a fast-paced environment
- Ability to collaborate and work effectively with other team members
