About the Team
Our Global Mobility & Immigration team supports the movement of exceptional talent across borders, enabling OpenAI’s mission to ensure that artificial general intelligence benefits all of humanity. We partner closely with Recruiting, Legal, HR, and external vendors to deliver a seamless and principled immigration experience.
About the Role
We’re looking for a highly organized, detail-oriented Immigration & Global Mobility Specialist to support day-to-day U.S. and global immigration operations. This is a hands-on, execution-focused role that partners closely with Global Mobility, Legal, Recruiting, and external immigration vendors to ensure cases move accurately and on time.
This role is best suited for someone who thrives in high-volume environments, enjoys operational work, and takes pride in keeping processes running smoothly for employees and stakeholders. This role reports to our Global Immigration Lead.
Your responsibilities:
Support the end-to-end lifecycle of U.S. and global immigration cases, including initiation, tracking, document collection, and filing coordination.
Serve as a primary operational point of contact for employees and recruiters on routine immigration and mobility questions (e.g., case status, timelines, next steps).
Coordinate closely with external immigration vendors to ensure timely responses, complete documentation, and adherence to established SLAs.
Maintain accurate immigration records and trackers, including Public Access Files (PAFs), LCA postings, and audit documentation.
Assist with operational immigration processes such as LCA batch postings, PERM support tasks, and standard non-immigrant visa cases.
Triage and manage items in shared inboxes and ticketing systems; escalate issues or risks to senior team members when needed.
Extract, validate, and maintain immigration-related data from HR systems (e.g., Workday, ATS, offer letters).
Provide administrative and logistical support, including collecting signatures, posting notices, scheduling calls, and maintaining paper and electronic records.
Follow established processes and playbooks to ensure compliance, accuracy, and consistency.
We’re Seeking:
8+ years of immigration operations and coordination experience with exposure to both U.S. and global immigration strongly preferred.
Working knowledge of common visa types (e.g., H-1B, O-1, E-3, J-1, UK Skilled Worker, Singapore Employment Pass).
Familiarity with LCA processes, basic PERM workflows, and immigration compliance requirements.
Experience working with immigration case management systems or ticketing tools.
Strong attention to detail and comfort handling confidential information.
Ability to manage multiple tasks simultaneously in a fast-paced, high-volume environment.
Clear communicator who follows through reliably and flags issues early.
Workplace & Location
This role is based in our San Francisco office or remotely in the US. Please indicate your working location in your application.
We offer relocation support to new employees, and we use a hybrid model: three days in the office per week with optional work from home on Thursdays and Fridays.
Our open-plan offices have height-adjustable desks, conference rooms, phone booths, well-stocked kitchens full of snacks and drinks, three in-house prepared meals daily, a private outdoor space for working in the sun or socializing, nap rooms, private bike storage, and more.
