Invoice Processing Specialist
Reports to: Invoice Processing Supervisor, Global Expense Management (FSSC)
Location: Philippines
Role Overview
The Invoice Processing Specialist is responsible for processing invoices across the North America, APAC, and EMEA regions. This individual contributor role supports the Accounts Payable service delivery team in meeting established SLAs and KPIs.
Key stakeholders include vendors, Procure-to-Pay, Controllers, Tax, Treasury, Internal Audit, Payroll, and various business units involved in the end-to-end Expense Management process.
This role requires the ability to remain calm under pressure, particularly during month-end, quarter-end, and year-end peak periods. Strong prioritization, communication, and organizational skills are essential to ensure operational efficiency.
Key Responsibilities
- Perform invoice verification and ensure accurate data entry in Workday
- Match invoices with purchase orders and goods receipts (as applicable)
- Validate and record vendor invoices and credit notes; route for approval
- Allocate charges to appropriate G/L accounts and cost centers
- Ensure compliance with SOX controls and prescribed procedures
- Research and resolve vendor invoice or credit note discrepancies to facilitate timely payment
- Deliver agreed SLAs and KPIs for the Accounts Payable team
Additional Responsibilities
- Collaborate with relevant departments to maintain accurate corporate data and account history
- Proactively identify and escalate process improvement opportunities to the Team Lead to drive global alignment and standardization
- Perform other ad hoc tasks as assigned
Qualifications & Skills
Required:
- Proficiency in MS Office applications (Excel, Word, PowerPoint)
- Strong attention to detail and analytical skills
- Above-average written and verbal communication skills
- Strong customer service orientation and proactive mindset
- Ability to manage multiple tasks in a high-volume, deadline-driven environment
- Strong organizational skills
- Ability to work independently and collaboratively
- Adaptable and results-oriented
Preferred:
- Experience with Workday, Coupa, NetSuite, or other ERP systems
- Experience working in multinational and/or shared services environments
- CPA certification (not required)
Education & Experience
- Open to fresh graduates or candidates with up to one year of experience
- Bachelor’s degree in Accountancy or any Business-related field preferred
