Office & Community Coordinator | London
Job Description
Clay is an in-person first company with three global offices in San Francisco, New York, and London. We believe creative magic happens when we collaborate face-to-face. Our offices are central hubs for communication, connection, and collaboration—destinations where customers, Claymates, and community come together. We're passionate about creating an awesome environment for our Claymates to thrive—our team plays a massive role here through real estate, office and facilities management, and events!
Clay is already a cool place to work, but we're building out the Workplace Experience team to push the bar even further and create something truly special that scales across the globe as we expand. We're looking for an Office & Community Coordinator in our London office who will be the first point of contact for employees, visitors, and partners, while planning amazing events to bring the community into Clay. You'll bring warmth, professionalism, and care to every interaction, while also ensuring smooth operations around employee support, safety, and events.
What You'll Do (Office & Community Coordinator):
Guest Management Excellence: Provide a warm, professional welcome to all visitors and employees, creating a positive first impression of Clay.
Event planning: Plan and execute engaging community events, including workshops, networking sessions, and social gatherings that bring customers, partners, and Claymates together in our London office.
Visitor & Guest Excellence: Serve as the point person for people traveling between offices or attending onsite events, ensuring a seamless office experience.
Experience Stewardship: Anticipate needs, resolve issues quickly, and make interactions seamless, whether for a candidate interview, executive visitor, or new hire on their first day.
Package & Mail Management: Efficiently log and distribute all incoming mail and packages, maintaining an organized package room and timely delivery system.
Building Coordination & Communication: Submit candidate registration and building tickets, and communicate office maintenance concerns.
Building Safety: Ensure ongoing communication with building management and emergency services, badging and guest access.
What You'll Bring
2+ years of relevant workplace experience, or front facing experience in high stress environments.
Strong emotional intelligence (EQ) with the ability to build relationships at all levels: You connect easily with people, create a sense of ease, and leave a positive impression in every interaction.
Flexibility to adapt and switch between various responsibilities.
Organized and detail-oriented: Strong attention to detail, able to stay calm under pressure, a quick thinker, create order out of chaos.
Polished communication: Clear, professional, and approachable — in person, over the phone, and in writing. Able to represent Clay to executives, candidates, and partners.
Event experience: Experience organizing team events with hundreds of people, as well as multi-day events with smaller groups of people, such as an executive offsite.
Cross-functional relationships: Coordinate with multiple teams to provide exemplary service.
