Role Overview
The Reception & Office Assistant is an entry-level role supporting the day-to-day operations of the Toronto office. This position serves as a welcoming first point of contact for employees, visitors, and vendors; while providing administrative and facility support to ensure a clean, organized, and well-functioning workplace.
Reporting to the Facilities Manager, this role focuses on front-of-house support, office coordination, and assistance. It is well-suited for someone early in their career who is eager to learn workplace operations and grow within a facility or office management function.
Key Responsibilities
Reception & Front-of-House Support
Greet and assist visitors, guests, and team members in a professional and friendly manner
Act as the first point of contact for general office enquiries
Assist with conference room bookings and meeting coordination as needed
Ensure reception areas and conference rooms are tidy, organized, and presentable
Office & Facilities Support
Support the Facilities Manager with daily office operations
Assist with access card issuance, returns, and guest passes
Stock and maintain kitchen and breakroom supplies, including pantry and coffee stations
Load and unload the dishwasher and help maintain shared kitchen cleanliness
Assist with office supply inventory and restocking
Manage incoming and outgoing mail, courier deliveries, and packages
Support vendor and building management coordination for basic office maintenance needs
Liase with building Property Management
Administrative Support
Provide basic administrative support such as filing, scanning, and document organization
Help update internal contact lists, calendars, and office directories
Assist with internal communications related to office information and events
Assist with global projects
Onboarding & Team Support
Assist with new hire office orientation and first-day setup
Support IT with inventory retrieval or coordination as needed
Provide general support to employees and local teams on an as-needed basis
Events & Workplace Experience
Assist with setup and take-down for office lunches, meetings, and social events
Help ensure event spaces are prepared and reset appropriately
Collaboration with the Workplace Community Team
Health, Safety & Compliance
Assist with office safety procedures and compliance activities
Participate in Joint Health & Safety Committee (JHSC) activities and office inspections, as required
Follow established emergency and safety procedures
Qualifications & Skills
Friendly, professional, and customer-service oriented
Strong organizational and time-management skills
Reliable, proactive, and willing to learn
Comfortable working in an office environment and supporting multiple tasks
Clear verbal and written communication skills
Previous experience in reception, retail, hospitality, or office support is an asset, but not required
First Aid/CPR certified, or willingness to obtain

This role provides exposure to facilities operations, office administration, and workplace support. With experience, the Reception & Office Assistant may grow into broader responsibilities within facilities, workplace experience, or office management roles.
