Reporting directly into the Manager, Workplace and Facilities, you will manage all aspects of the Chicago office and assist other US offices as needed.
The Sr. Workplace and Facilities Coordinator will be a dynamic, customer service-focused individual who works fast, pays attention to details, and strives at all times to assist all things related to Workplace and Facilities.
Workplace Experience
- Create raving fans: Be the face of Gong in the office and greet guests and employees
- Responsible for maintaining office appearance, meeting setup coordination, office upkeep, and anticipating office needs
- Welcome new hires, be the first point of contact and lead new hire orientation when necessary
- Act Now: Quickly and efficiently responds to all facilities inquiries and request tickets about the office; Ensures timely and quality service delivery to every employee. Follow up with employees to ensure complete customer satisfaction.
- Win as a team: work with Manager with coordination of requests and escalate issues as needed
- Be a point of contact for Employee Experience events, which may include coordination for other US sites as needed, participate in Culture Club meetings
Vendor Management
- Manage and coordinate Lunch Program for registration, inquiries, and solutions
- Manage onsite snack program and vendor, building strong relationships and auditing order slips and invoices
- Manage mailing and shipping (inbound and outgoing) as needed
- Liaison with property management team for building-related issues
Administration and beyond
- Manage and coordinate office access program
- Performs other general administrative/project management duties as assigned
- Assist in office seat planning
- May travel to assist in other US offices for growth opportunities
QUALIFICATIONS
- This role will be in the office from 7 AM to 4 PM, M-F and as needed for special events outside of working hours
- Experience working in office, preferably in a startup environment
- High School Diploma or equivalent preferred
- College coursework or equivalent experience, in a related area preferred
- 2+years of administrative or office experience in a related field desired
- Ability to assess priorities quickly, and become proficient with protocol, culture and processes.
- Ability to work under pressure with limited supervision
- Strong communication skills, both written and verbal
- Experience with gSuite a plus

The annual salary hiring range for this position is $73,000 - $105,000 USD.
Compensation is based on factors unique to each candidate, including, but not limited to, job-related skills, qualification, education, experience, and location. At Gong, we have a location-based compensation structure, which means there may be a different range for candidates in other locations. The total compensation package for this position, in addition to base compensation, may include incentive compensation, bonus, equity, and benefits. Some of our sales compensation programs also offer the potential to achieve above targeted earnings for those who exceed their sales targets.
