Your Mission
The Order Operations Administrator is part of the centralized Orders team, which owns quote procurement, order execution, and dealer order processing across the business. This team supports both the Existing Accounts organization and Sales by ensuring all orders, renewals, and expansions are accurately prepared, processed, and fulfilled.
While some renewals are owned end to end by Order Operations Specialists, the Administrator role is focused on backend execution and administrative support. While this role does not proactively manage customers or accounts, it plays a critical role in making sure renewal and expansion deals are ready to execute and do not get stuck due to operational or system gaps.
All dealer orders flow through the Orders team.
Responsibilities
- Support quote procurement and quote requests for renewals and expansions, ensuring quotes are accurate and ready for execution.
- Perform administrative checks to confirm renewal and expansion deals are correctly structured before processing.
- Process orders, renewals, and expansions once deals are approved, including contracts, documentation, and system updates.
- Handle backend administration for all dealer orders, coordinating with dealers only when orders are placed or clarification is required.
- Maintain clean, accurate data in HubSpot, Gainsight, and related systems to support downstream teams.
- Partner closely with Order Operations Specialists, Account Managers, Customer Success, Finance, and Revenue Operations to ensure smooth handoffs.
- Provision licenses and fulfill orders in a timely manner, including urgent license provisioning outside of primary regional time zones when needed.
- Track assigned quote and order workflows to ensure SLAs and timelines are met.
- Identify missing information, data issues, or process gaps early and escalate appropriately to prevent delays.
- Support global administrative coverage for the Orders team as needed.
Your Skills
- Strong attention to detail and comfort with operational, process driven work.
- Experience supporting quote, order, or deal workflows in a GTM environment.
- Familiarity with CRM and order systems such as HubSpot and Google Sheets.
- Ability to manage multiple requests and prioritize accurately.
- Clear written communication for internal coordination and limited external interactions.
- Comfort supporting urgent requests and working across time zones when required.
