About the Role:
We are looking for a seasoned Executive Assistant to support our CEO, CFO and CHRO. This role sits at the center of how Demandbase operates. You will manage the CEO’s calendar, support board operations and represent the Office of the CEO across the company and with external stakeholders.
This is a high-trust, high-judgment role. You will work closely with our executive staff, board members, investors and customers. The right person brings calm under pressure, strong written communication and a track record of anticipating needs early.
What you’ll be doing:
• Executive Support to the CEO: Provide end-to-end administrative partnership. Own daily logistics, prep and follow-through across both leaders.
• Board of Directors Support: Manage the full board meeting cycle. Coordinate scheduling, materials production, logistics and travel for board members. Partner with the CFO and Legal to assemble board books, track action items and protect highly confidential information.
• Calendar and Travel Management: Own complex, shifting calendars across multiple time zones. Resolve conflicts with sound judgment. Build domestic and international travel itineraries. Process expenses promptly and accurately.
• Confidentiality and Discretion: Handle sensitive financial, personnel and strategic information with the highest standards of professionalism. Use discretion in every interaction.
• Meeting and Event Coordination: Plan and run executive staff meetings, offsites and company-wide events. Build agendas, capture decisions and drive follow-up. Partner with facilities and IT on logistics.
• Strategic Project Support: Build presentations and briefing materials for the CEO. Coordinate cross-functional projects sponsored by the Office of the CEO. Track progress against goals and flag risks early.
• External Stakeholder Engagement: Serve as the primary point of contact for investors, board members, customers, partners and dignitaries visiting the CEO. Coordinate visits, meals and hospitality with polish.
• Cross-Functional Engagement: Attend executive staff meetings, document action items, drive agendas and build strong working relationships across functions.
• Strategic Partnership: Work alongside leadership to stay ahead of priorities, anticipate needs and protect their time for the work only they do.
What we’re looking for:
• Location: San Francisco hybrid. You will work in person in our San Francisco office 1-2 days a week and ad hoc as needed.
• Experience: 7+ years supporting C-level executives in a fast-paced, high-growth technology environment. Direct experience supporting a CEO is strongly preferred.
• Technical Proficiency: Strong fluency in Google Workspace, Slack, Zoom, Expensify and Zip. Comfortable picking up new tools quickly.
• Organization and Prioritization: You manage shifting priorities across multiple executives. You build systems and structures to keep work moving forward.
• Professionalism and Discretion: You stay calm under pressure. You protect confidential information. You represent the Office of the CEO with poise.
• Adaptability: You move fast, stay flexible and bring a steady presence to the team.
• Collaboration and Support: You step in wherever the need lands. You partner with other EAs and the broader executive staff to keep the business moving.
• Communication Skills: Outstanding written and verbal communication.
• Proactive Mindset: You anticipate needs. You think ahead. You bring solutions when you flag issues.
• Bonus: Experience supporting a board of directors or partnering with a Chief of Staff.
