- Role summary:
Genesys is seeking a Facilities Assistant to join our facilities management team at our Budapest office. The Genesys Global Facilities & Real Estate team supports over 50 locations around the world with headquarters located in Menlo Park, California.
The Budapest office is home to a team of up to 200 R&D engineers and we are looking for a positive and outgoing person to join this fun and energetic team. The Facilities Assistant will be the ‘go to’ office contact for our employees as well as being the ‘face’ of the organization to our guests and visitors and will therefore be essential to setting the office culture and vital to the success and energy of this innovative work setting.
Reporting to the site Facilities Manager you will have responsibility for assisting in the delivering of a full array of office services to ensure the organization has the most suitable working environment for its employees and their activities. Using best business practice to improve efficiency and productivity, this role will be a key member of the facilities team and be accountable for the following duties:
- Act as office concierge/receptionist to welcome guests and visitors, answer incoming calls, book & coordinate meetings & events, and assist with general enquiries from staff and other building users.
- Support local staff on an as-needed basis.
- Assist in the delivery of soft and office services such as catering and hospitality, cleaning, security, desk move management and office furniture, etc.
- Ensure excellent workplace housekeeping and site is presentable for staff and external visitors.
- Conduct office administration tasks such as deliveries & stock management, mail & postage, courier requests, coordination of parking requirements, files & records management, and ensuring general office equipment is functional to meet staff requirements.
- Assist with coordination and act as site contact for maintenance activities, both planned and reactive.
- Assist with financial operations such as purchase order creation, invoice approvals, and operational cost tracking.
- Support and execute fun and social events, projects, and office routine as needed, end to end.
- Help with travel plans of the company’s employees and incoming international visitors.
- Onboarding of new hires.
- Administration of H&S duties and coordinate all workplace activities and safety training in accordance with organization’s safety policy.
- Be an accountable member of the site emergency management team and undertake training in the required fields of first aid and fire warden duties.
- Work constructively with the wider EMEA FM team to promote continual development and sharing of ideas and best practice.
- Assist with promoting the facilities function and activities to all staff.
- Security System Admin – Assist with issue of access card to employees and updating details on Access Control system
Characteristics, Skills, and Experience required:
- Minimum 2 years’ relevant experience in either facilities management or hospitality delivery with a demonstrable interest to develop within the field.
- Excellent spoken and written English.
- A qualification in a relevant field is desirable e.g., Hospitality Industry, Facility & Office Management.
- Excellent customer service and people skills, with a strong ability to communicate effectively verbally and in written format.
- Demonstrate a self-starter attitude and ability to work on own initiative.
- Organized, details oriented and able to handle multiple projects simultaneously while meeting targets.
- Excellent time management skills and the ability to prioritize work.
- Exceptional organizational and multitasking skills, Strong service orientation.
- Independent, innovative, and resourceful.
- Great interpersonal skills and capability to work collaboratively with other team members and the wider organization.
- Strong computer skills (PowerPoint, Excel, Outlook, Word).
